Bilingual School Receptionist 

Part Time      



Job Overview: The School Receptionist is a member of the Extended Day Program. The position is critical to the operation of the school and the duties are varied. This position is highly visible to parents and the broader community and vital to create a positive environment during the hours of the extended day. The Receptionist is responsible for the management of the front desk, data and compliance support - specifically attendance, and overall school support. 

 

Reports To: The Bilingual School Receptionist reports to the Office Manager. 

 

Responsibilities and Duties

Front Desk Management

  • Act as school’s receptionist, greet visitors and parents, respond to requests for information, ensure those picking up children are authorized to do so
  • Answer the phones, provide information where possible and direct calls and messages to appropriate staff where necessary; check voicemails daily and as needed
  • Manage the Schoolpass Visitor system, creating accounts for families and completing wellness checks for visitors and staff. 
  • Maintain a safe lobby environment during arrival and dismissal
  • Maintain a clean, organized and welcoming physical space in reception area
  • Process payments and support reconciliations with the office manager with a focus on families who are enrolled in the after school program.. 
  • Develop, maintain, and assume primary responsibility of systems for organization and operation of the front desk

 

Data and Compliance Support

Attendance

  • Maintain daily attendance records relevant to the front desk such as late arrivals, early pick-ups during the day program, and late pick-ups from after school
  • Ensure attendance is taken by teachers daily
  • Help receive and track all messages related to attendance and update files daily in student information system
  • Follow up with families as needed

 

Overall School Support

  • Support the mission and philosophy of Mundo Verde to students and families
  • Help prepare mailings as needed
  • Serve as a general resource for Spanish-speaking families
  • Attend to students in need of assistance
  • Reinforce and remind students of school rules
  • Assist and support various special events and initiatives
  • As needed, provide assistance to teams such as, but not limited to, operations, extended day, management, development, communication, academics, etc.
  • Other duties as assigned
  • Participate in weekly Operations Team meetings
  • Support with the enrollment process
  • Support families to complete the FARM application
  • Collect, scan and email health records to the appropriate team

 

Qualifications, Skills and Values

Qualifications

  • High school diploma, Bachelor’s degree or related experience, preferred. 
  • Advanced or native proficiency of English and Spanish
  • Excellent written and oral communication skills
  • Previous work in an urban public school setting, ideally charter. 
  • Excellent computer skills (Google Suite, Microsoft Office, web-based platforms, etc.) and capacity for learning school technology (iPod, iPads, two-way radios, etc)
  • Excellent time management and organizational skills
  • Impeccable attention to detail
  • Confidence and patience for managing requests of parents, who may challenge or not understand school procedures
  • Ability to responsibly manage sensitive information
  • Highly professional appearance and demeanor as this is the first person the school community comes in contact with at Mundo Verde

 Other Job Details

  • Schedule: Hours Monday, Tuesday, Thursday and Friday 3pm to 6.30pm Wednesday 10:30 to 6:30pm 
  • Location: Calle 8 Campus, 4401 8th St. NW Washington, DC 
  • This position does not have any direct reports 
  • Position Type: This is a Part Time Salary position  which is eligible for overtime pay under the provisions of the Fair Labor Standards Act
  • Employment subject to TB test, fingerprinting and background check
