Position- Attendance Clerk
TERMS OF EMPLOYMENT: 10-month, 29.5 hours a week, Classified Compensation plan Level 1
REPORTS TO: School Principal
GENERAL STATEMENT OF RESPONSIBILITIES:
PRINCIPAL DUTIES, KNOWLEDGE AND SKILLS REQUIRED:
The Attendance Clerk is responsible for the tracking of daily absences and tardies for students.
To comply with A.R.S. 15-807 - Absence from school; notification of parent or person having custody of pupil. Within two hours after the first class in which the pupil is absent, shall make a reasonable effort to promptly telephone and notify the parent or other person who has custody of the pupil of the pupil's absence from school.
- Answer incoming phone calls relating to attendance issues as well as checking phone messages frequently.
- Ensure teacher’s are taking attendance and entering the attendance data in the student mgmt. system. Create Absence Reports and other User Defined Reports using the student management system.
- Call parents of students who are absent within two hours after the first class. Daily data update in the student management system for absences, tardies, excuses, etc.
- File excuse notes in students’ cumulative file.
- Track excessive absences and mail truancy letters
- Verify enrollment documents for the student cumulative folders after site secretary has enrolled a student. Process School Record Requests.
- Track and follow through on 30 day birth certificate waivers.
- Process withdraw students, paperwork and student data entry.
- Provide customer service to students and parents.
- Duties as assigned for data entry in the student management system.
- Maintains student activities account and accounts receivable
- Provide confidential administrative support.
- Performs other duties as assigned
Knowledge and Skills Required:
- Knowledge of general school site rules and policy.
- Knowledge of district rules of conduct and policy.
- Knowledge of office equipment and computer hardware and software applications.
- Knowledge of report preparation and records management principles.
- Skill in customer service practices.
- Skill in communicating both orally and in writing.
- Skill in establishing and maintaining effective working relationships with others.
MINIMUM QUALIFICATIONS: High school diploma and two (2) years office experience OR an equivalent combination of education and experience that provide the required knowledge and skills. Working knowledge of Word and Excel, customer service skills (person and phone), ability to multi-task, communication skills (written and verbal), working knowledge of student management system helpful. Bilingual preferred.
PHYSICAL REQUIRMENTS:
Able to perform the following physical requirements of the position with or without reasonable accommodation: critical sensory requirements include general vision, corrected to 20/20, hear or listen in the normal range (corrected) and speak and give directions clearly. Able to walk, sit, stand, kneel, crouch, crawl, reach, lift (exerting force up to 50 pounds).
