POSITION SUMMARY:


 


This is a grant funded position. Works collaboratively with the Early Childhood Supervisor to support the school system efforts in the prekindergarten application process, EXCELS/Accreditation and CDA obtainment for prekindergarten instructional assistants. Assists in processing, performing financial analysis, and maintenance of grants and assigned portions of the local budget accounts.  Assists with the maintenance of the prekindergarten application mixed delivery database.  Work requires technical judgment to ensure fiscal controls and accurate accounting of often complex and unusual financial transactions.

 

 


REPORTS TO:


 

Director of System and Instructional Performance 

 

 

EDUCATION, CERTIFICATION, AND EXPERIENCE:


  1. Associate degree (or 60 college credits) in Accounting or Finance required; Bachelor’s Degree preferred.
  2. A minimum of five (5) years of applicable experience, including experience preparing, and monitoring grants and budgets.

 

 

KNOWLEDGE, ABILITIES, AND SKILLS:

  5. Proven ability to work with minimum of direct supervision.
  6. Demonstrated physical vigor necessary to work diligently on the successful completion of assignments.
  7. Demonstrated success in accomplishing tasks akin to the responsibilities listed below.
  8. Such alternatives to the above qualifications as the Calvert County Public Schools may find appropriate and acceptable.

 

 

ESSENTIAL JOB FUNCTIONS, DUTIES & RESPONSIBILITIES:


 

  1. Assists in the mixed delivery application process database, and application files.
  2. Works collaboratively with specialists, supervisors, private providers, and parents in the Prekindergarten Application process
  3. Works collaboratively with the Early Childhood Supervisor to support the school system efforts in the prekindergarten application process, EXCELS/Accreditation and CDA obtainment for prekindergarten instructional assistants.
  4. Enters requisitions in efinance for grants.
  5. Receives and monitors ordered materials for grants.
  6. Assists the Supervisors with the preparation, development, and monitoring of grants.
  7. Works closely with Supervisors to prepare all forms and necessary reports including:
    • Budget Details Sheets
    • C-125 reports
    • Certifications and Assurances
    • Progress Reports due to Maryland State Department Education (MSDE).
  8. Prepares all reports to ensure timely submission to the Finance Department and MSDE.
  9. Monitors the spending in each budget category to ensure that the department is on track for full expenditure by the end of the grant period.
  10. Reports spending to each Supervisor monthly.
  11. Prepares amendments and carryover requests as necessary.
  12. Collects and processes mileage forms for grants.
  13. Collects and processes timesheets for grants.
  14. Collects and processes travel expense forms for grants.
  15. Monitors line item spending in the budget and reports progress to the administrators of the grants monthly.
  16. Prepares all financial reports to ensure timely submission to the Finance Department and MSDE.
  17. Monitors the spending in each budget category to ensure that the department is on track for full expenditure by the end of the grant period.
  18. Closely monitors carryover funds on federal grants to ensure expenditure monthly.
  19. Thinks, concentrates, and interacts positively with others.
  20. Comes to work promptly every day.
  21. Works flexible hours as necessary.
  22. Works under stress and meets all deadlines.
  23. Other duties as assigned.

TERMS OF EMPLOYMENT:


Twelve (12) month position and salary commensurate with qualifications applied to the current salary schedule for support employees (Grade 18). All employees are encouraged to have automatic payroll deposit.

Performance will be evaluated in accordance with the policy on evaluation as established by the Calvert County Public Schools.
