LEARNING SERVICES SUPPORT SPECIALIST

HIRING SALARY RANGE: $19.25-$23.10 per hour
POSITION SALARY RANGE: $19.25-$28.84 per hour
SUMMARY OF JOB DESCRIPTION:
Serve as Administrative Assistant to the Director of Educator Quality, Members of Educator Quality Department and other Learning Services Department members as needed/requested
SUPERVISED BY:
Director of Educator Quality
ESSENTIAL JOB ELEMENTS:
Coordinate and organize administrative support, clerical tasks, schedules and routine office procedures.
Take initiative in suggesting processes and procedures for the effective administration in meeting department deadlines.
Effectively coordinate communications by researching and providing requested information or routing to the appropriate party/department via phone, via email, or in person.
Create, proof, and revise documents as requested.
Coordinate, plan, and provide necessary logistical support for all meetings as directed.
Facilitate the purchasing process as required for necessary materials.
Communicate and maintain daily schedules for staff using Google calendars.
Revise and maintain district-wide databases including data entry and processing.
Support creating and managing classes in Performance Matters
Provide technical assistance in designing and completing any written communications.
Coordinate arrangements for licensed teacher training, committees, or other group and community meetings including, but not limited to: confirming consultants, training times, locations, equipment needed, registration, attendance, food (snack, coffee, meal) purchasing/organizing/set-up/clean-up and meeting arrangements.
Produce and distribute communications as necessary.
Assist with recruitment logistics including: making travel arrangements, tracking expenses, ordering giveaways, etc.
Process purchases orders, and submit credit card statements for the Educator Quality Department.
Update ECSD website areas for Educator Quality.
For all areas of work, anticipate questions or issues that may arise and address them proactively.
Assist with the onboarding of new employees to the department.
Perform other duties as assigned.

District Employees, Colorado Department of Education, College and University Representatives, technical support representatives, vendors, outside consultants.
QUALIFICATIONS:
High school diploma or equivalent.
1 year post-secondary secretarial training in written communication, office management, accounting, and specialized technology courses or 2+ years related secretarial or related technology experience, including accounting experience.
Effective communication and interpersonal skills.
Effective organizational, time management and problem-solving skills.
Computer skills: software management applications, technical troubleshooting skills and system analysis. Proficient in Microsoft Office and on the Google Platform (Google docs, sheets, forms, etc.)
Successful experience working with confidential information in an office setting.
