Job Description

$2500 hiring bonus pro-rated based upon start date and hrs, and payable over 12 months


 


This position performs a variety of office duty tasks such as answering the phone, scheduling appointments, photocopying, filing, opening and distributing mail, and other duties necessary to ensure the smooth operation of the school. Establish and maintain a positive and effective working relationship with all school staff and the public.


 


ESSENTIAL DUTIES AND RESPONSIBILITIES:


  • Handles the principal's correspondence and appointments;
  • Is the liaison between the principal, teachers, parents, students, custodial staff, support staff, and community;
  • Oversees staff attendance and time sheets;
  • Oversees substitute teachers (greet and provide orientation on arrival);
  • Works to coordinate proper coverage of classes during teacher absences;
  • Communicates with staff regarding daily and emergency information;
  • Assists certified and classified staff;
  • Coordinates and publishes school calendars for administration, staff, and parents;
  • Initiates and completes all production work (Handbooks, Curriculum Guides, etc.);
  • Coordinates pre-registration events, including all communications, calendars, and planning necessary to complete the process;
  • Assists in master schedule preparation and data entry;
  • Coordinates opening school activities and information;
  • Provides backup assistance for front counter;
  • Provides backup for phone answering;
  • Purchasing – Obtains purchase information and comparisons, completion of purchase orders and expediting payment through proper bookkeeping practices;
  • Maintains accurate accounting of school funds, district funds, and/or federal funds including banking, writing checks and creating requisitions and purchase orders ensuring compliance with financial, legal, and/or administrative requirements;
  • processes conference requests/registrations/reservations;
  • Monitors and balances Ponderosa Middle School, district, and internal accounts;
  • Processes accounts payable for internal accounts;
  • Is responsible for all banking tasks;
  • Produces appropriate financial reports throughout the year, and year-end audit report;
  • Assists with other fund-raising activities;
  • Maintains building use calendar, process requests for use of building, and communicates with custodians regarding building use;
  • Communicates with volunteer coordinator(s), provides appropriate information to coordinator(s) regarding parent names/addresses and school events;
  • Handles student insurance purchases/claims/questions and maintains contact with insurance representative;
  • Maintains database of in-house coverage for staff information and tracking;
  • Handles locker assignments and continuing assistance to help student, staff, and administration;
  • Distributes staff keys at opening of school and throughout the year as requested.
  • Keeps student information confidential;
  • Makes decisions independently in accordance with established policy;
  • Possesses and exhibits an upbeat positive attitude;
  • Develops positive working relationships with students, staff, families, and visitors;
  • Other duties as assigned by the Principal or other administrative staff.

 


QUALIFICATION REQUIREMENTS:  To perform this job successfully, an individual must be able to satisfactorily perform each duty.


 


EDUCATION AND/OR EXPERIENCE:  High school diploma or general education degree (GED) required.  Three years of clerical experience or combination of experience and training preferred.

RATE OF PAY: $13.21-$14.01


 


HOURS: 8 hour day with an unpaid 1-hour lunch (260 days)
