Job Description

JOB TITLE:  Student Information Data Manager I
LOCATION: Isaac Dickson Elementary School

Recruitment Incentive: Paid 1/2 the first month and 1/2 at the 6 month mark.

An employee in this class performs a variety of complex technical and computer support functions for the student information system. Work at this level requires a substantial knowledge of student accounting procedures and regulations, source data, and the functionality of the student information system in order to support school operations and to generate federal, state, and local electronic files effectively. Work includes complex scheduling, including individual classes and preparing individual schedules in multi-track schools, or in a large school or group of schools. Work involves the operation of microcomputers, optical mark scanners, printers, and other peripheral equipment. The employee must communicate with a wide variety of groups including students, teachers, principals, counselors, central office staff, parents, governmental agencies, and institutions of higher education. The employee works under general supervision where goals are provided, and the employee determines the procedures to accomplish them. The employee must possess a high level of decision-making skills in working with diverse groups and dealing with the complexity of work found in scheduling and maintaining a Multitracks, or School within a School. This employee is involved in the operation and use of local and wide area microcomputer networks.
  • Performs advanced scheduling, assisting administrators in determining needs and identifying solutions when less than 100% scheduled.
  • Continuously maintains student schedules throughout the academic school year.
  • Maintains student demographic data in the student information system.  Processes change of information forms in a timely manner.  Annually Updates student information based on the campus enrollment form.
  • Adhers to FERPA guidelines regarding the release and distribution of student data.
  • Designs complex reports/electronic files that require identifying a variety of databases from which to retrieve information.
  • Builds new databases to generate special reports/electronic files designing formats in which to display data.
  • Processes information and forms for obtaining academic progress information, including grade change forms.
  • Runs and distributes report cards and related academic reports.
  • Assists instructional technology facilitators with the support of the teacher electronic grade book where applicable.
  • Records and maintains the attendance tracking system.  Generates the 3, 6, and 10 day attendance letters from the attendance tracking system.
  • Maintains information for preparing the vocational report/electronic files.
  • Maintains student data required for the auto dialers that interface with student information system.
  • Produces student discipline reports as request by administration.
  • Records missing test scores or exemption codes for transfer students into the student information system.
  • Maintains special programs in the student information system, including 504, homeless, and Alternative programs.
  • Biannually reviews the testing audit from accountability and makes all needed updates in the testing area of the student information system.
  • Assists grade level administrative assistance with discipline data entry
  • Strong analytical skills.
  • Ability to work with a high degree of accuracy.
  • Considerable knowledge of computers, peripherals, and various operating systems.
  • Ability to independently exercise judgment in selecting and implementing procedures and analyzing data.
  • Advanced skills in the use of graphic user interfaces.
  • Considerable knowledge of the school system student information software package utilized at the school.
  • Considerable knowledge of student accounting procedures and regulations.
  • Considerable knowledge of word processing software, spreadsheets, and databases.
  • Ability to troubleshoot and correct hardware and software problems.
  • Ability to communicate well with school personnel, parents, students, and central office staff while complying with the confidentiality requirements in local, state, and federal policies and statutes.
Graduation from a two year college or technical school majoring in a computer related field or administrative office support, and at least two years of job-related work experience, one year of which includes data entry as a Student Information Data Manager I; or an equivalent combination of education and experience.
Physical Requirements:  Must be physically able to sit, stand, walk and drive.  Must be able to lift boxes up to 10 pounds.  Physical demand requirements are for Light Work.
Data Conception:  Requires the ability to compare and/or judge the readily observable, functional, structural or composite characteristics (whether similar or divergent from obvious standards) of data, people or things.
Interpersonal Communication:  Requires the ability to speak and/or signal people to convey or exchange information.  Includes giving instructions, assignments or directions to subordinates or assistants.
Language Ability: Requires the ability to read complex forms.  Requires the ability to prepare time sheets and read complex directions.
Intelligence:  Requires the ability to apply common sense understanding to carry out instructions furnished in written, oral or diagrammatic form; to deal with problems involving several concrete variables in or from standardized situations.
Verbal Aptitude:  Requires the ability to record and deliver information, to explain procedures, to follow oral and written instructions.  Must be able to communicate effectively and efficiently in standard English.
Numerical Aptitude:  Requires the ability to utilize mathematical formulas, to add, subtract, divide, multiply, calculate percents and manipulate data and graph it.
Form/Spatial Aptitude:  Requires the ability to inspect items for proper length, width and shape.
Motor Coordination:  Requires the ability to coordinate hands and eyes rapidly and accurately in using computers and other technology.
Manual Dexterity:    Must have minimal levels of eye/hand/foot coordination.
Color Discrimination:  Requires the ability to differentiate between colors or shades of color.
Interpersonal Temperament:  Requires the ability to deal with people beyond giving and receiving instructions.  Must be adaptable to performing under average levels of stress.
Physical Communications:  Requires the ability to see, talk and hear.
